Qualifications:

  • Education: High school diploma or GED
  • Experience: CMA, RMA, or CCMA preferred. Must have at least TWO years medical office experience.
  • Additional requirements: Strong organizational and communication skills are essential, as well as the ability to multitask and work in a fast-paced environment. Experience in a healthcare setting or in a similar administrative role is required.

Job Description:

  • The Surgery Scheduling Supervisor oversees the daily operations of the surgery schedulers within the provider practice departments. This role involves managing a team of scheduling specialists, ensuring efficient scheduling of surgical procedures, and maintaining high standards of patient care and operational efficiency. The supervisor collaborates with surgeons, medical staff, surgery team, and administrative personnel to optimize scheduling processes and resolve any issues that arise within the clinic setting.

    Key Responsibilities:

    1. Team Management:

    o Supervise and lead a team of surgery scheduling specialists, including training, performance evaluations, and professional development.

    o Assign and monitor scheduling tasks, ensuring deadlines and accuracy are met.

    o Provide guidance and support to team members to address complex scheduling issues and escalate as necessary.

    2. Scheduling Coordination:

    o Oversee the scheduling of all surgical procedures, ensuring alignment with surgeon and operating room.

    o Ensure team adherence with scheduling policies and procedures to enhance efficiency and effectiveness.

    o Address and resolve complex scheduling conflicts and issues, including re-scheduling and cancellations.

    3. Patient and Staff Communication:

    o Serve as the primary point of contact for high-level scheduling concerns on the clinic side and escalations from patients and medical staff.

    o Ensure clear and effective communication with patients regarding their surgical procedures, preparation instructions, and any changes to their schedule.

    o Collaborate with OR leadership, surgeons, anesthesia teams, and other departments to coordinate surgical needs and resources.

    4. Operational Oversight:

    o Monitor and analyze scheduling processes and performance metrics to identify areas for improvement.

    o Ensure compliance with hospital policies, regulatory requirements, and best practices in surgical scheduling.

    o Prepare and maintain detailed reports on scheduling activities, team performance, and patient outcomes.

    5. Quality Assurance:

    o Address and investigate any scheduling errors or issues and develop strategies to prevent recurrence.

    6. Administrative Support:

    o Assist in the development of departmental policies, procedures, and training materials.

    7. Innovation and Improvement:

    o Identify and implement process improvements to streamline scheduling operations and enhance overall efficiency.

    o Stay updated on industry trends and best practices related to surgical scheduling and incorporate relevant advancements into departmental practices.
