  • Education: High School Diploma or GED
  • Experience: Previous HIM experience & medical terminology preferred
  • Additional Requirements: Previous computer experience required. Ability to work in a fast paced, sometimes stressful environment.

Job Description:

  • ROI - Under the direction of the ROI specialist, the ROI Assistant reviews, validates and processes requests for medical records.
  • Ensures requests for information are handled appropriately, prioritized, and released per HIPAA / ROI (multiple) policies in PolicyTech (minimum necessary, authority, identification, etc.).
  • Follows OCH policies and procedures and HIPAA guidelines and regulations for Release of Information.
  • Prior to releasing a record, audits record for completeness. Determines if request is access or authorization driven.
  • Verifies right to access or authorizations are complete and HIPAA compliant.
  • Notifies requesting party when authorizations/subpoenas are not compliant.
  • Retrieves and releases appropriate / requested documents, including current, archived, & historical documents, from the EMR.
  • May make copies of paper records when available.
  • Remains proficient in the various EMR’s required to fulfill requests.
  • Releases information as directed per the requestor (paper, CD, upload, efax, etc.) and in accordance with EHR allowances.
  • Completes Release of Information log in EHR (i.e., data entry) as required and scans release of information requests into the appropriate EMR.
  • Requests paper charts from Iron Mountain as needed to fulfill requests.
  • Communicates with healthcare payors, attorneys, insurance carriers, etc. to discuss their requests and records, if required.
  • Completes disclosure log for HIPAA compliance when required.
  • Prepares invoices and bills customers.
  • Discusses concerns or questions with ROI Specialist.
  • Operations - May assist with daily HIM responsibilities including answering phones, waiting on customers and other general miscellaneous HIM activities.
  • As applicable, may fill in for other positions within HIM staff.
  • Embraces technology.
  • HIPAA / Compliance - Safeguards confidentiality.
  • Follows HIPAA, compliance and organizational policies.
  • Remains up to date on related regulations (HIPAA) and OCH policies to ensure Release of Information is handled compliantly.
  • Communications: Outstanding communication and interpersonal abilities.
  • Answers phone promptly with a friendly, professional tone.
  • Assists and communicates with all customers, co-workers and medical staff in a friendly, efficient and professional manner. Respectful to all.
  • General Departmental Functions: General knowledge of HIM departmental functions.
  • Attends mandatory and other pertinent inservices.
  • Communicates problems / concerns to Director.
  • Embodies OCH values. Knowledge of Policy Tech and Common Share.

  • Frequently accesses email to stay up to date on information within the organization and provides a way of communication between staff members.
